Project Location: Helsinki, Finland
Project Type: Hyperscale Data Centre
Experience: Preference for candidates with experience in project administration within large-scale construction or engineering projects, particularly in data centre or industrial environments.
Eligibility: Must hold either an EU Passport or Residency in Finland.

Key Responsibilities:
Administrative Support:
Provide comprehensive administrative support to the project team, including scheduling meetings, preparing agendas, and taking minutes.
Maintain and organise project files, records, and documentation, ensuring easy access for the team.
Assist in the preparation and formatting of project reports, presentations, and other deliverables.
Coordination and Communication:
Act as a central point of contact for internal and external stakeholders, ensuring clear and timely communication.
Coordinate with project teams, contractors, and clients to facilitate smooth project operations.
Manage project correspondence, including emails, letters, and other communications.
Document Control:
Assist in the management of project documentation, including filing, version control, and distribution.
Ensure all documents are accurately logged and stored in the project's document management system.
Support the project team in maintaining compliance with document control procedures.
Project Planning and Tracking:
Assist in the preparation and maintenance of project schedules, tracking progress against milestones.
Monitor and update project trackers, including risk registers, action logs, and issue logs.
Support the project team in tracking budgets, expenses, and financial reporting.
Logistics and Travel Coordination:
Arrange travel and accommodation for project team members, ensuring compliance with company policies.
Coordinate site visits, meetings, and events, including logistics and materials preparation.
Manage office supplies and equipment, ensuring the project team has the resources needed to operate efficiently.
Key Requirements:
Education: Diploma or degree in Business Administration, Project Management, or a related field (desirable but not essential).
Experience:
Minimum of 2+ years of experience in project administration, preferably within the construction or engineering industry.
Experience working on large-scale projects, particularly in data centre, industrial, or commercial environments, is advantageous.
Skills:
Strong organisational and time management skills, with the ability to prioritise tasks effectively.
Excellent attention to detail and accuracy in handling documentation and data.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
Communication:
Strong written and verbal communication skills.
Ability to work collaboratively with multidisciplinary teams and external stakeholders.
