Project Location: Helsinki, Finland
Project Type: Hyperscale Data Centre
Experience: Preference for candidates with experience in project administration within large-scale construction or engineering projects, particularly in data centre or industrial environments.
Eligibility: Must hold either an EU Passport or Residency in Finland.

Key Responsibilities:

Administrative Support:


  • Provide comprehensive administrative support to the project team, including scheduling meetings, preparing agendas, and taking minutes.

  • Maintain and organise project files, records, and documentation, ensuring easy access for the team.

  • Assist in the preparation and formatting of project reports, presentations, and other deliverables.

Coordination and Communication:


  • Act as a central point of contact for internal and external stakeholders, ensuring clear and timely communication.

  • Coordinate with project teams, contractors, and clients to facilitate smooth project operations.

  • Manage project correspondence, including emails, letters, and other communications.

Document Control:


  • Assist in the management of project documentation, including filing, version control, and distribution.

  • Ensure all documents are accurately logged and stored in the project's document management system.

  • Support the project team in maintaining compliance with document control procedures.

Project Planning and Tracking:


  • Assist in the preparation and maintenance of project schedules, tracking progress against milestones.

  • Monitor and update project trackers, including risk registers, action logs, and issue logs.

  • Support the project team in tracking budgets, expenses, and financial reporting.

Logistics and Travel Coordination:


  • Arrange travel and accommodation for project team members, ensuring compliance with company policies.

  • Coordinate site visits, meetings, and events, including logistics and materials preparation.

  • Manage office supplies and equipment, ensuring the project team has the resources needed to operate efficiently.

Key Requirements:


  • Education: Diploma or degree in Business Administration, Project Management, or a related field (desirable but not essential).

  • Experience:

    • Minimum of 2+ years of experience in project administration, preferably within the construction or engineering industry.

    • Experience working on large-scale projects, particularly in data centre, industrial, or commercial environments, is advantageous.

  • Skills:

    • Strong organisational and time management skills, with the ability to prioritise tasks effectively.

    • Excellent attention to detail and accuracy in handling documentation and data.

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.

  • Communication:

    • Strong written and verbal communication skills.

    • Ability to work collaboratively with multidisciplinary teams and external stakeholders.
