Project Location: Helsinki, Finland
Project Type: Hyperscale Data Centre
Experience: Preference for candidates with experience in document control within large-scale construction or engineering projects, particularly in data centre or industrial environments.
Eligibility: Must hold either an EU Passport or Residency in Finland.

Key Responsibilities:

Document Management:


  • Establish and maintain a robust document control system to manage all project documentation, including drawings, specifications, contracts, and reports.

  • Ensure all documents are accurately filed, version-controlled, and easily accessible to relevant stakeholders.

  • Distribute documents to internal and external parties in a timely manner, ensuring compliance with project requirements.

Quality Assurance:


  • Review documents for accuracy, completeness, and compliance with project standards and procedures.

  • Ensure all documentation adheres to company and client quality standards.

  • Maintain a log of document submissions, approvals, and revisions.

Coordination and Communication:


  • Liaise with project teams, contractors, and clients to ensure smooth document flow and timely approvals.

  • Attend project meetings to provide updates on document status and address any issues related to documentation.

  • Act as the primary point of contact for all document control-related queries.

System Management:


  • Manage and maintain electronic document management systems (EDMS) such as Aconex, Procore, or similar platforms.

  • Train and support project team members in using the document control system effectively.

  • Ensure the system is up-to-date and functioning efficiently.

Reporting and Auditing:


  • Generate regular reports on document status, including outstanding approvals, revisions, and deadlines.

  • Conduct periodic audits to ensure document control processes are being followed and identify areas for improvement.

  • Maintain a comprehensive archive of all project documentation for future reference.

Key Requirements:


  • Education: Diploma or degree in Business Administration, Information Management, or a related field (desirable but not essential).

  • Experience:

  • Minimum of 3+ years of experience in document control, preferably within the construction or engineering industry.

  • Experience working on large-scale projects, particularly in data centre, industrial, or commercial environments.

  • Familiarity with electronic document management systems (EDMS) such as Aconex, Procore, or similar.

  • Skills:

  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.

  • Excellent attention to detail and accuracy in handling documentation.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and PDF editing tools.

  • Communication:

  • Strong written and verbal communication skills.

  • Ability to work collaboratively with multidisciplinary teams and external stakeholders.
