Service Description:

As part of the Project Support Office, the Document Controller will be essential in supporting one or more project teams by managing document control across various phases of infrastructure projects. Your key roles and responsibilities include:

  • Refining and implementing processes, procedures, and tools as outlined in the document management plan.
  • Managing and overseeing document management processes.
  • Coordinating all tasks related to the Document Management procedure, including maintaining the Document Register and document distribution.
  • Suggesting improvements to the Document Management process, procedures, and tools, while generating relevant KPIs and reports.
  • Performing quality checks on all incoming formal project documents before their validation by the project team, and on all internally created project documents before their approval and dissemination.
  • Managing the Document Management Information System (Aconex), including overseeing all access rights and modifying system configurations as required.

The Document Controller must be adaptable and flexible, ready to take on additional responsibilities as necessary. This might include providing training to new team members on document control processes, participating in project meetings to give updates on document status, and maintaining confidentiality of sensitive project documents.

Requirements:

  • Bachelor's degree with a strong inclination towards working in a technical environment.
  • Prior experience as a Document Controller is mandatory.
  • Experience with Aconex is highly desirable.
  • Experience as a Document Controller on large infrastructure projects is a significant advantage.
  • Expert knowledge of MS Office suite and Document Management Software (Aconex and SharePoint).
  • Strong organizational skills.
  • Excellent verbal and written communication skills in English, with a good command of French or Dutch.
  • An assertive communicator with strong interpersonal skills.

Additional Information:

  • Location: The role is based at Quai Léon Monnoyer 3, 1000 Brussels, with the option for partial remote work.
  • Important for Non-EU Candidates: Candidates must possess a work permit that allows them to work in Belgium and hold a valid residence permit confirming the right of residence in Belgium.
